So, you’ve found a dreamy wedding venue and you’re gearing up for that first tour. The place is stunning. The vibes are immaculate. You’re already picturing the s’mores bar and your first dance under twinkling lights. But before you get swept away by the beauty, let’s talk about the real questions you NEED to ask—because the fine print can make or break your day (and your budget).

As a wedding photographer who’s seen it all—from magical garden parties to “wait, that’s the only bathroom?!” moments—I’m here to help you walk into your venue tour feeling like a pro. Here’s the ultimate checklist, inspired by real couples and wedding veterans:


1. The Numbers Game: Minimums, Maximums, and Money

  • Is there a food & beverage minimum?

    Some venues require you to spend a certain amount on catering/bar. Don’t get surprised!


  • Do you offer off-peak pricing for weekdays or off-season dates?

    If you’re flexible, this could save you major cash.


  • Are there admin/service fees, taxes, or gratuities?

    These sneaky charges add up—ask for a full breakdown upfront.


  • Are credit card fees a thing?


  • What’s the deposit, payment schedule, and refund policy?


2. What’s Included (And What’s Extra)?


  • Besides the space, what else is included?

    Tables, chairs, linens, lighting, sound system, decor closet…every venue is different.


  • Is set up and breakdown included, or an extra charge?


  • Are bartenders included in the bar package, or paid separately?


  • What about decor—can you hang things, use candles, or bring in your own flowers?


  • Does the venue have a “preferred vendor” list, and do you HAVE to use their vendors?


3. Guest Count & Headcount Hassles


  • Can you adjust your guest count after signing the contract?

    Some venues only let you add, not subtract. Don’t get stuck paying for 200 if only 150 show up!


  • Are kids counted differently? What about kids’ meal pricing and age cutoffs?


4. Spaces & Logistics


  • Is there a getting-ready suite for both partners?

    (And is it an actual suite or just a glorified bathroom? Ask to see it!)


  • What are the venue hours? How early can vendors arrive? Is there a curfew?


  • Can you store decor overnight, or does everything need to be out the same night?


  • Is there a rain plan or backup indoor space?


  • Are there sound ordinances or restrictions after a certain time?


  • What’s the bathroom situation?

    (Seriously—ask! You don’t want two porta-potties for 150 guests.)


5. Food, Drinks, & Sweet Treats


  • For specialty bars (like s’mores):

    • Can they accommodate allergies or dietary needs (sugar-free chocolate, gluten-free options, etc.)?

    • What’s included—variety of graham crackers, marshmallows, toppings?


  • Is there a policy about outside desserts or late-night snacks?


  • Can you see the catering area (fridge, heat sources, prep space)?


6. Decor, Lighting & Vibe


  • What colors are available for linens?


  • Is string lighting included or an extra charge?


  • Can you bring in your own lighting or decor?


  • What’s included in the tour setup vs. what’s an upcharge?


  • Can you use real candles, flower petals, or hang installations?


7. The People & The Plan


  • Who will be your main contact on the wedding day?


  • Is there a dedicated venue coordinator? Security? Are they included or extra?


  • Can you do a rehearsal here? Is there a fee?


  • Are there hotel/shuttle partnerships for guests?


  • Is there parking, valet, or coat check (and is it staffed or self-serve)?


8. Tech & Entertainment


  • What sound equipment is available? Can you use your own playlist/Bluetooth, or must you hire a DJ?


  • Are microphones available and will someone show you how to use them?


9. The Little Things (That Matter Big Time)


  • Can you store things overnight?


  • Is there a place for you and your partner to eat in peace after the ceremony?


  • Can you arrive early for pictures, and do they have location suggestions?

  • Build a spreadsheet to compare venues and keep track of what’s included.
